2. TERMS OF BUSINESS

The following are the terms and conditions under which Electrolysis Transformations provide electrolysis hair and blemish removal services.

Every client’s electrolysis transformations starts with a free consultation where we inform you of the treatments we offer, their effects, side-effects, benefits, risks, limitations and the rates that apply. Prior to your in-person consultation, we require you to fill out a Medical Questionnaire as well as some additional information forms that will be sent to you via a secure link. This information will help us decide what strategy, approach and techniques may be best to choose for your individual case as well as ensure your health and wellbeing during the treatment course. Please contact the clinic or ask your therapist prior to treatment if there is anything you do not understand. After the consultation you will be asked to sign a treatment and data consent. Without these forms and consents completed, we will not be able to provide services to you.

We require that you declare any new medical conditions, medications of any description, skin preparations, sun exposure or changes of any nature to your therapist prior to each treatment.

We will always advise you on the treatment plan we consider best suits your needs. We will not provide treatment of any nature that we believe to be inappropriate. We reserve the right to refuse treatment in accordance with our Clinic Policies.

In order that you get the best out of your appointment time, we need you to prepare for treatment as instructed:

  • Grow hair to at least 3 mm length. No plucking, waxing or threading are allowed once you start your treatment plan.
  • Don’t use OTC actives on your skin for 1 week prior to treatment. No advanced aesthetic facials for 2-3 weeks prior to electrolysis treatment.
  • Don’t expose the treatment are to the sun and wear appropriate level SPF if sun exposure is unavoidable. Freshly-tanned skin will not be treated. Plan treatments 2 weeks either side of sunny holidays.
  • Good skin health and hygiene in the treatment area are necessary for safe procedure. Please shower on the day of treatment and moisurise your skin if we are addressing body areas. Regular exfoliation and moisurising help greatly to keep the follicle openings free of dead skin cells and blockages.
  • Make sure you sleep well on the night before your treatment, drink plenty of water, avoid more than a 1 cup of tea/coffee on the day and alcohol consumption on the day prior to treatment.

We operate on an appointment only system. We require that you arrive on time for your appointment or no more than five minutes prior to your appointment time. Arriving late may mean that your appointment time will be shortened. We will not run over on to another client’s appointment time to accommodate late arrivals. We will always try to accommodate you however in some instances you may need to be re-appointed.

We operate a strict cancellation policy. A fee will be charged for cancellation or rescheduling of an appointment with insufficient notice. Cancellations within 24 hours of your appointment will incur a charge of 50% of the cost of treatment. Clients who fail  to attend their scheduled appointment will incur 100% charge. Clients who attend their appointment and are unable to receive treatment because of hair length, suntan, fake tan, or new medication will also be charged, so please ensure you inform us of any changes that may affect your treatment. This charge is applied because we cannot fill appointments at short notice and down time results in financial loss to the clinic.

There may be times when we have to cancel or rearrange your appointment at short notice. We will always endeavour to contact you as soon as we are aware of problems that may result in cancellation of clinics.

We have a zero tolerance to abuse either verbal or physical to our electrolysis specialists. We reserve the right to refuse treatment.

3. COMPLAINTS POLICY AND PROCEDURE

At Electrolysis Transformations, we aim to ensure that all the services we provide are of the highest quality. Excellent client care is at the heart of our businesses ethos and this will never be intentionally compromised.

As a member of the BIAE, we are committed to the BIAE Code of Professional Practice which upholds the highest standards of our professional practice and can be found on the BIAE website.

If we fail to achieve this, we listen carefully and respond to complaints quickly acknowledging any mistakes and rectifying them so that we can make improvements to our service.

Stage 1: In compliance with The Consumer Rights Act 2015 (England and Wales) we provide our customers with an opportunity to inform us if they feel that a service was not provided with reasonable care and skill or as agreed. If the customer is not able to communicate their unsatisfaction or are not aware of it while at the clinic, they should forward their complaint in writing to our email address info@electrolysistransformations.co.uk to the attention of Geri Panayotova. Complaints can usually be dealt with expeditiously by staff thanks to regular customer service training provided to help them fulfil their responsibilities in this area.

Thorough notes of the complaint together with any supporting evidence will be taken and logged on the client’s personal file whatever the outcome.

Geri Panayotova will get in contact with the client by the end of the day or as soon as practically possible to discuss how the matter can be rectified amicably using a fair and reasonable approach. We aim to resolve any complaints in 14 days.

In case of skin reactions, further information and photos may be required as well as the client may need to attend in person for skin analysis in order for the best course of action to be recommended. Additional aftercare advice may be issued.

Regular clinic visits for assessment may be required over a period of time to observe the healing progress. Regular contact is encouraged to keep us informed of any new developments and give us the opportunity to respond with changing the aftercare routine if we feel it would benefit the customer.

The Consumer Rights Act 2015 states that customers must allow the service provider to put things right, therefore a complaint cannot be legally escalated if this stage is omitted or if the customer does not engage with the remedy protocol.

Stage 2 – Independent external review – If a decision cannot be reached to our client’s satisfaction, we will, as we are required by the The Consumer Rights Act 2015 refer the complaint to a certified alternative dispute resolution provider, Hair & Beauty Mediation. As mediators, they listen to both sides and help work towards a fair and reasonable compromise which is acceptable to both parties. It is not legally binding unless both parties agree on an outcome, but this will offer an alternative option than taking legal action. Any additional staff training that has been undertaken in response to this complaint will be relayed to our client. A letter will be sent to our client detailing this.

Stage 3 – If we cannot, after mediation work towards to a fair and reasonable compromise that both parties are happy with then we would advise our client to seek legal advice. All details, including our insurance companies’ details would be provided for the client.

Clients can also Raise a concern with the BIAE if they believe that we have breached the BIAE Code of Professional Practice by following the relevant procedure which can be found on BIAE website www.electrolysis.co.uk
